The following FAQ has been prepared to help with troubleshooting efforts:

Intelligent Appointments did not appoint anyone

Try checking the following:

  1. Check “Manage Availability” to ensure that there are no availability sync problems.
  2. Check the “Availability vs Appointments” report to ensure people have provided availability for given day and time slots.
  3. Check that the divisions on the day/time slot are being remapped from any 3rd Party system (e.g. MySideline) to the internal SportsM8 divisions configured within the Competition Configuration. If required reconfigure the Integration Configuration and fix the division mapping for the imported draw.
  4. Check the the divisions on the day/time slot match schedule are configured on the default intelligent appointments match official profiling. Reconfigure the default intelligent appointment divisions and re-profile the members as needed.
  5. Check the the divisions on the day/time slot match schedule are configured on the members you expect to be appointed for the intelligent appointments match official profiling. Re-profile the members as needed to target the divisions within the selected day/time slot.
  6. Check that the date of Competition Day matches that of each Time Slot.
  7. Check that the dayid of Competition Day matches that of each Time Slot.

Payment Cycle is reporting no unreconciled payments found

Try checking the following:

  1. Make sure that the dates in the cycle have not had payment records generated for them before. This is a manual process of looking for payment records around that time and reviewing them for the match appointments. Knowing your typical routine and workflow will assist in this process.
  2. Make sure you have marked the timeslots as published.
  3. Make sure that the timeslot status is set to one that allows processing of payments (by default either Appointed, Completed). This workflow can be changed in Competition Config.
  4. Use Simulate Payments to check that the payment rules are being applied.
  5. If you had to reschedule the Competition Day, make sure that the date/time reported when editing a specific timeslot shows the correct date.

Members cannot see their appointments

  1. Make sure you have marked the timeslots as published.
  2. If you had to reschedule the Competition Day, make sure that the date/time reported when editing a specific timeslot shows the correct date.

My auditor has requested details of payments

This is exactly what our payment reports and exports are designed to assist with. Given the various nature of requirements our export options are best suited to meet this need,

  1. Navigate to the “Payment Portal” and the “Payment Search”. When the request is to provide reports of previous competitions the Competition Seach can be used to access the Payment Portal for historical reporting.
  2. Use the Search feature to identify the payment records created within the date range required, and with the status etc needed. I.e. search for all payment records of ‘paid’ status within the entire year 2023.
  3. Scroll to the bottom of the page and expand the “Data Export” section. Select the option to export the results to “CSV” or “CSV with Line Items” as appropriate. Click the Export button and save the file as needed.
  4. Repeat the above steps for any other competitions a required.
  5. Import the CSV data into Excel and perform any further aggregation or joining of data as needed

A referee plays in a team and unable to provide accurate availability of when their team is playing

Our “Not Allowed to Officiate” team option is exactly designed for this scenario.

  1. Use “Manage Members” and search for the individual(s) required
  2. Click the “Edit member” button
  3. Scroll to the bottom of the edit window and add a team to the “Not allowed to Officiate”
  4. Check the box to exclude from the timeslot if the member should not only be blocked from officiating that team but also officiating at the time that teams play. Such scenarios as that person plays in that team or they have a sibling/child that they want to always watch play in that team.
